Epic EMR Access Request

Welcome to the Epic EMR Access Request portal. This guide outlines the steps to request access, complete mandatory training, and ensure a smooth transition into our electronic health record system.

How to Access Training

  • Medical Students: Access is granted upon confirmation of rotation dates and completion of prerequisite Prescriber Core Curriculum and Epic Providers Student Curriculum in Children’s University.
  • Providers (Residents, Fellows, Attending Physicians, Nurse Practitioners, Physician Assistants): Access is contingent upon completion of the Prescriber Core Curriculum, role-specific Epic Provider training and system requirements.
** The Prescriber Core Curriculum is an annual requirement.

Note: Please allow 2–3 business days for access updates following completion of training modules.

All users must complete role-specific training to ensure proficiency in Epic workflows. Training formats include:

  • Required eLearning Curricula: Access foundational training materials before your first day.
  • Competency Assessments: Once you have completed your Epic Provider Curriculum, you will complete quizzes and evaluations to demonstrate proficiency. You must score >= an 80 on your assessment to pass.
  • Instructor-Led Sessions: If the Epic assessment is not passed, you will be required to participate in a scheduled virtual or in-person training session.
  • Shadowing: Hands-On Practice: Engage in supervised practice to reinforce learning if scheduled.

All training materials are available through our Learning Management System (Children’s University). Please ensure you have completed the necessary modules. If you are scheduled for a live session, these must be completed before your scheduled training session.

Upon successful credentialing from Medical Staff Services, you will receive your Epic login credentials via email. Once your required eLearning curricula and credentialing are completed, your training block for Epic will be removed. You will receive an email notifying you that your training block has been removed. Ensure you can successfully log in prior to your first day of rotation or clinical duties.

  • Technical Issues: For login or technical issues, contact the IT Service Desk at 205-638-6568.
  • Training Inquiries: Email epic.training@childrensal.org for questions related to training content or schedules.
  • Ongoing Support: Once granted access, you will be able to access just-in-time training materials within the Epic system to assist with real-time workflow needs.

Completing Training on Children's University

A Children's of Alabama (COA) network ID/CHS number along with multi-factor authentication (OKTA) enrollment is required to access and complete training on Children’s University (CU) via the Children’s of Alabama (COA) portal.

Answer:

  1. Simply go to the COA portal, click the Children’s University option under Web Links, and log in as you normally would.
  2. Once in Children's University, Launch the required assigned training from your Active transcript.

  1. Enroll in Okta: Click Okta Enrollment Link and follow the instructions to set up your account. Okta is a multi-factor authentication tool or MFA. COA uses MFA to help secure access to its applications.

    Note: To enroll in Okta, you’ll need your CHS# (username) and the temporary password on your COA remote access instructions email. If you did not receive the email or need help, please contact the Customer Support Desk at 205-638-6568.
  2. Log in to the COA Portal: Once enrolled, log in to the COA portal and select the Children’s University option under Web Links.
  3. Login to CU: Use your network credentials to login via Single Sign-On (SSO).
  4. Launch Course: Once in CU, Launch the required assigned training from your Active transcript.

  2. Login to CU: Login using your network credentials via SSO.
  3. Launch Course: Once in CU, Launch the required assigned training from your Active transcript.

Answer: Go to reset.chsys.org and Select Forgot Password. You will be sent an email with a link to reset your password. (If you do not have access to your email, you will need to call CSD to reset your password).
